Our commitment
Scope
This policy applies to the Team First Baseball and Softball Academy website, its player and team/travel-group assistance application, and information Team First receives from its donation and communication providers. It does not replace the privacy policies of outside services that you choose to visit.
Information we collect
Assistance applications
A parent, legal guardian, or authorized adult team organizer may provide contact information, preferred contact method, a limited athlete identifier, sport, age group, city and ZIP code, team or trip details, types and amounts of assistance requested, high-level household-income ranges for individual requests, fundraising information for team requests, and written context about the need and commitment to the sport.
Social Security numbers, bank or credit-card details, account passwords, full dates of birth, medical records, full tax returns, or complete player rosters. The online application does not accept document uploads.
Donations and sponsorships
Donations are processed through Zeffy. Team First may receive donor contact information, gift amount, campaign selection, receipt details, and messages supplied through Zeffy. Payment-card information is handled by the payment provider and is not entered into the Team First assistance application.
Website and security information
The website and its service providers may process limited technical information such as IP address, browser type, request time, security-check results, and error data to deliver the site, prevent spam, and investigate misuse. Team First does not currently use advertising or behavioral-profiling cookies.
How we use information
- Evaluate eligibility, need, purpose, and available funding.
- Contact applicants, teams, organizations, vendors, or listed payees for limited verification.
- Communicate application decisions and provide confirmation receipts.
- Process donations, acknowledgments, sponsorships, and accounting records.
- Protect applicants, prevent spam or fraud, and maintain the website.
- Meet legal, tax, audit, insurance, and recordkeeping obligations.
Team First does not sell applicant or donor personal information and does not use assistance-application details for commercial advertising.
Retention and deletion
Team First aims to keep personal information only as long as it has a legitimate program, accounting, legal, or safety need. Declined or withdrawn application records are generally deleted within 12 months after the decision. For approved assistance, records needed to document the award, payment, audit trail, or legal compliance may be retained for up to seven years; private narrative details that are no longer needed should be removed sooner. Donation and accounting records may also be retained for up to seven years.
Service providers may keep security, delivery, backup, or legal records under their own retention schedules. A deletion request may be limited when Team First must preserve a record for legal, tax, audit, fraud-prevention, or dispute purposes.
Children and family information
The application is designed for adults. A child should not submit an application. For individual-player requests, the applicant must be a parent or legal guardian. Team requests must be submitted by an authorized adult coach, manager, organization representative, or trip organizer.
Team First intentionally minimizes information about young athletes. It requests a first name and last initial for an individual application and does not request full birth dates or a team roster. If you believe a child submitted information without appropriate adult authorization, contact Team First so it can be reviewed and deleted where appropriate.
Your choices
You may ask to access, correct, withdraw, or delete information you submitted. Team First may ask for enough information to verify that the requester is the applicant, parent, guardian, or authorized representative before disclosing or changing a record.
Email tfbsa2025@gmail.com with the subject “Privacy Request.” Withdrawing an active application may prevent Team First from completing its review.
Security
Team First uses encrypted website connections, restricted review access, anti-spam controls, data-minimizing forms, and service providers that support secure delivery. No online or email system can be guaranteed completely secure. If Team First becomes aware of a material incident affecting applicant information, it will evaluate appropriate notice and response steps.
